Terms & Conditions of Registration

These Terms & Conditions govern your application for, and continued membership of, the UK Register of Emergency Medical Teams (UKREMT). Please read them carefully before applying.

Summary

UKREMT is a free, voluntary, charity-operated professional register for pre-hospital emergency medical practitioners in the United Kingdom. By applying to join and maintaining your registration, you agree to these Terms & Conditions in full. These terms exist to protect the public, uphold professional standards, and ensure the integrity of the register.

1. Eligibility & Application

1.1 Who may apply

UKREMT is open to practitioners who work in, or are training in, pre-hospital emergency medicine (PHEM) in the United Kingdom. Overseas applicants are subject to additional audit requirements and a one-time registration fee.

1.2 Accuracy of information

All information submitted in your application must be truthful, accurate, and complete. Submission of false, misleading, or fraudulent information — including falsified qualifications, DBS certificates, or identity documents — will result in immediate rejection or removal from the register, and may be referred to the relevant authorities.

1.3 Document verification

UKREMT operates a rigorous audit process. All submitted documents (ID, certificates, DBS, CV) are reviewed by our audit team. We reserve the right to request further evidence or contact awarding bodies, referees, or employers to verify any submitted information.

1.4 Referee declaration

By naming a referee, you consent to UKREMT contacting them to verify your professional standing. Your referee must be a qualified professional with knowledge of your PHEM practice.

2. Publication of Data & The Public Register

2.1 What we publish

By joining UKREMT, you agree and consent to the following basic information being published on the publicly accessible UKREMT register for the purpose of public protection and professional transparency:

  • Your full name
  • Your UKREMT PIN (registration number)
  • Your PHEM grade
  • Your registration type (e.g. Full, Associate, Fellow)
  • Your registration status (e.g. Active, Lapsed, Suspended)
  • Your registration expiry date
  • Your qualifications as held on the register
  • Your city (only — never your full address, postcode, county/region or country)

2.2 What we NEVER publish

UKREMT will never publish or share the following information on the public register or with any third party without your explicit consent:

  • Home address or any address details
  • Telephone numbers
  • Email addresses
  • Date of birth
  • DBS certificate number, DBS expiry date, DBS certificate issue date or detailed DBS content
  • Identity documents
  • CV or personal employment history

2.3 Purpose of publication

The publication of basic registration details serves the sole purpose of public protection — allowing members of the public, employers, and commissioning bodies to verify that a practitioner holds a current, legitimate UKREMT registration.

3. Maintaining Registration

3.1 Annual renewal

Registrations must be renewed annually. UKREMT will send renewal reminders by email. It is your responsibility to ensure your contact details are kept up to date and to complete renewal before your expiry date.

3.2 Continuing Professional Development (CPD)

Registrants at PHEM grade E and above are required to maintain CPD records appropriate to their grade. UKREMT may request evidence of CPD activity as part of periodic re-audit.

3.3 Enhanced DBS & renewal

You must maintain a valid Enhanced DBS certificate throughout the period of your registration. The following conditions apply depending on whether you are subscribed to the DBS Update Service:

  • Registered on the DBS Update Service: Your DBS expiry is aligned to your UKREMT membership expiry date (3-yearly). UKREMT performs monthly status checks against the Update Service on your behalf, free of charge. If a check returns an adverse result, your registration will be reviewed immediately.
  • Not registered on the DBS Update Service: Your DBS must be renewed annually. You are responsible for providing an updated certificate each year. Failure to do so will result in your registration lapsing.

3.4 Membership renewal period

UKREMT registration is valid for 3 years from the date of approval, subject to annual DBS requirements above and any fitness to practise obligations. Renewal reminders will be sent by email at 90, 60, and 30 days before expiry.

3.5 Reporting changes

You must notify UKREMT promptly of any material changes to your circumstances that may affect your registration, including but not limited to: criminal convictions, fitness to practise proceedings by any other body, significant changes to your qualifications or practice scope, or any action that may bring the profession into disrepute.

4. Fitness to Practise

4.1 UKREMT's duty

UKREMT has a duty to protect the public. Where concerns are raised about a registrant's fitness to practise, conduct, or character, UKREMT will investigate those concerns through a fair and transparent process.

4.2 Grounds for investigation

Fitness to practise concerns may include, but are not limited to:

  • Misconduct or behaviour likely to bring the profession into disrepute
  • Criminal convictions or cautions
  • Fraudulent application or falsification of documents
  • Impairment through health conditions affecting safe practice
  • Actions that have harmed, or placed at risk of harm, a patient or member of the public

4.3 Outcomes

Following investigation, UKREMT may take one of the following actions: take no further action; issue a warning or conditions on registration; suspend the registration; or remove the registrant from the register. Outcomes are published on the register in accordance with our Fitness to Practise Outcomes policy.

4.4 Agreement to cooperate

By registering with UKREMT, you agree to cooperate fully with any fitness to practise investigation, to respond to correspondence in a timely manner, and to accept the outcome of any properly conducted process.

4.5 Employer notification

Where a fitness to practise investigation concludes with a serious adverse outcome — including but not limited to removal from the register, suspension, or the imposition of conditions or restrictions on a registrant's membership — UKREMT reserves the right to notify the registrant's current employer of the outcome. Such notification will be made solely where it is necessary and proportionate for the protection of the public or the safety of patients, and will be carried out in accordance with UK GDPR and the Data Protection Act 2018. Registrants will be informed before any such notification is made wherever it is practicable to do so.

4.6 Raising a concern

Any person may raise a fitness to practise concern about a UKREMT registrant via our Raise a Concern process.

5. Data Protection & Privacy

5.1 Data controller

GWAS Ambulance Charity CIO (Charity No. 1214668) is the data controller for all personal data held by UKREMT. We process your personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

5.2 Lawful basis

We process your personal data on the basis of: (a) your consent, as given at the point of application; (b) legitimate interests in operating a public protection register; and (c) compliance with legal obligations.

5.3 Retention

Registration records are retained for a minimum of 10 years following the end of your registration to facilitate verification requests. Fitness to practise records are retained in accordance with our FTP policy. You may request a copy of your data at any time by contacting us.

5.4 Your rights

Under UK GDPR you have the right to access, rectify, erase (subject to our retention obligations), restrict, and port your personal data. To exercise any of these rights, contact info@ukremt.org.

6. Amendments & Termination

6.1 Changes to these terms

UKREMT reserves the right to amend these Terms & Conditions at any time. Registrants will be notified of material changes by email with at least 30 days' notice. Continued registration following notification of changes constitutes acceptance of the revised terms.

6.2 Voluntary withdrawal

You may withdraw from the UKREMT register at any time by contacting us in writing. Withdrawal does not affect any ongoing fitness to practise investigation.

6.3 Governing law

These Terms & Conditions are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
